We are looking for a proactive and organized Office Manager to join our team on a part-time basis (20 hours per week, hybrid format of work). You will be responsible for various administrative and operational tasks, ensuring that the office runs smoothly and that team members have the resources they need to succeed.
In this role, you will:
- Order office supplies and cleaning materials as needed to ensure a well-stocked and clean office environment.
- Manage the ordering and replacement of necessary office equipment.
- Handle incoming and outgoing mail, including logging all correspondence.
- Coordinate document exchanges with our legal partner, Revera.
- Schedule and welcome couriers, manage post office interactions and handle mail via a postbox.
- Organize office refreshments, including coffee, tea, nuts, dried fruits, and snacks.
- Prepare for new hires by setting up workspaces, greeting them, giving office tours, issuing welcome packs, and setting up equipment.
- Handle and track gifts for team members, including packaging, tracking deliveries, and inventory management.
- Organize office events and maintain order in the office storage area.
- Oversee peripheral devices (printers, laptops), coordinate repairs, and handle equipment setup or return for new or departing employees.
About you:
You are a detail-oriented, resourceful individual with a positive attitude and the ability to manage multiple responsibilities with ease. You possess a strong sense of responsibility and can effectively communicate with team members and external partners. Ideally, you bring experience in office management and familiarity with modern tools.
Requirements:
- Strong organizational and multitasking skills, with a keen eye for detail.
- Proficiency in Excel and PowerPoint.
- English proficiency at B2 level or higher.
- Experience working with Slack and Google Workspace is a plus.
